Golf Outing FAQs

Do I need to be a member to host an event at Stoneleigh G&CC?
Though many of our corporate and charitable golf outings are sponsored by Club members, the event host is by no means required to either be a member or sponsored by a member. We are delighted to support community non-profits, and we welcome corporations, associations and other groups.

On what days does Stoneleigh G&CC host outings?
Primarily on Mondays.  However, because our golf course is so uncrowded, we can sometimes accommodate an outing on Tuesday, Wednesday or Thursday. Please contact our Head Golf Professional at 540.3358.4653 ext. 1 or outings@stoneleighgolf.com for available dates, rates and options.

What time do outings typically tee off?
Typically a morning shotgun tees off at 8:00am, and an afternoon tee off is at 1:30pm.

If I have a small group, are shotgun starts the only option available to me?
No, depending on the size of your group and the day of the week, tee times may be available.

If we have a small group do we have to pay for the entire golf course?
Small groups are welcome at Stoneleigh and you need not pay for the entire golf course unless exclusive use is desired.

How much does it cost per player and what is included?
Rates vary by date and time of day. Please contact our Head Golf Professional at 540.338.4653 ext. 1 or outings@stoneleighgolf.com for available dates, rates, and options.

What is the minimum number of players necessary to book an outing? How many players are needed to guarantee a shotgun start?
Player minimums vary by date and time of day; however, Stoneleigh G&CC welcomes groups as small as 20 people. Our professional golf staff can advise you in more detail.

What is the process to reserve a golf outing date?

The important first step is to communicate with our Head Golf Professional by calling 540.338.4653 ext. 1 or email outings@stoneleighgolf.com to discuss your event goals and to determine whether we have a suitable date for you. After that discussion, we will agree on services to be provided and finalize a price before sending a contractual agreement for your review and requesting a nominal deposit.

This is our first attempt at running a golf outing. Is there someone at Stoneleigh who can guide us through the process?
Stoneleigh wants your golf outing to be a complete success. Our professional staff is available to guide you in the planning and execution of a successful golf outing.

What standard items and services are offered to golf outings?

All golf outings packages include:
  1. Linen-covered registration tables
  2. Customized scorecards and rules sheets
  3. Fully-staffed bag drop
  4. Use of range and practice area
  5. On-course contests and markers
  6. Player assistants to help with pace of play
  7. Use of microphone and speaker
  8. Professional tournament scoring and results
Who provides food for my event?
All food and beverage must be provided by the Club unless otherwise agreed in writing. We offer an outing menu with an array of breakfast, lunch, and dinner choices, and we are delighted to customize a menu if you prefer.

What food and beverage services are available during our outing’s golf round?
Stoneleigh offers a snack bar between the 1st and 10th Tees as well as two fully stocked beverage carts. These complement our full service restaurant and event catering service. Additional on-course food and beverage stations can be customized to meet your needs.

Can Stoneleigh G&CC help publicize my event?
You have the option of being included on our website in the upcoming events section. The calendar will link visitors to our website to your designated contact person for more information. There is no additional cost for this service, and we will only include your event with your permission.  You also have the option of promoting your outing in the Club’s weekly email to members for a nominal cost of $50 for two weeks.

If we have a small group do we have to pay for the entire golf course?

Small groups are welcome at Stoneleigh, and we often will pair more than one small group at the same time so your group’s per player cost is reasonable. Once you enter an agreement with Stoneleigh G&CC, you do not bear any risk that your price will change if we fail to pair your group. If we do pair your group, you will register, eat and golf with your own group and the other group will be entitled to the same camaraderie. We are well practiced in serving more than one small group simultaneously so both receive excellent service and are not co-mingled.

What is the highest number of golfers I can have at one time?
A shotgun start means that all participants begin their golf round at the same time on different holes. If you opt for the maximum number of participants you can theoretically start 144 players at the same time. This participation boost needs to be balanced against the impact it can have in slowing play. Some groups choose to maximize participation, while others cap their number of players at 120 players. This decision is up to you based on your goals, and our professional staff is delighted to help you in making these decisions.

What is the cost if we wish to have extra golf carts?
Stoneleigh can arrange for the tournament rental of golf carts. The cost varies depending on the needs and fuel prices. If Stoneleigh makes the arrangements, a nominal upcharge of 20% will be added. Outing clients may be required to provide evidence of insurance.

Does the Club offer rental clubs?
We have clubs available for a daily rental for $25 during golf outings. These include both left and right-handed clubs for men and women.

May outing participants purchase merchandise in the pro shop?
Guests are welcome to purchase items in the pro shop with a credit card (American Express, Visa or MasterCard). Cash is not accepted.

Can Stoneleigh G&CC help me identify prizes and giveaway items for participants?
Prizes and welcome gifts help establish the tone for your event. Participants appreciate an event that demonstrates extra effort and creativity. We have a fully stocked professional shop and we can also order special items with or without your logo for your group.

Where can I hang banners acknowledging my major sponsors?
Stoneleigh G&CC wants your event to be successful and to do so requires that your major supporters feel appropriately acknowledged. The Club has many available spaces to acknowledge sponsors such as the registration and dining areas. On-course signage, small promotional tents and vehicles for contests are additional opportunities.

What audiovisual equipment does Stoneleigh G&CC provide?
The Club provides complimentary use of microphones, speakers and a projector during golf outings. If additional equipment is necessary, Stoneleigh will rent the equipment and add a nominal handling fee of 20%.

Can I sign a multi-year contract?
You are welcome to negotiate a multi-year agreement to secure your outing’s future, but you are by no means required to do so. Multi-year contracts allow groups to secure their future outing dates at preferred pricing.

What happens if I sign a contract, but then need to cancel or reschedule my event?
The details regarding what payments would be waived are listed in our golf outing contract agreement. We encourage a high degree of communication in such situations and encourage as much notice as is possible.  When the Club commits to a date from a private group, other business is frequently turned away for that date.
